What you set up

Automobile dealership businesses run on the Business plan, which turns on 38 modules:

Turn any of these off if you don't need them - see setting Finocket up for your trade for the two decisions worth getting right on day one.

What you'll do day to day

Every vehicle by chassis number

Signed in as a staff member, open /items. Open the 125 cc disc model: each unit's chassis number, in stock or sold, and the invoice it went out on.

Sell a bike, retire its serial

Signed in as a staff member, open /invoices/new. Invoice a walk-in buyer; pick the chassis number; stock and the serial register both move.

Financier payouts reconciled

Signed in as the accountant, open /banking/reconcile. Suvidha and Krishna Auto Finance payouts matched to the loan-funded invoices they settle.

Workshop job on one bill

Signed in as a staff member, open /invoices/new. Service labour + brake shoes + engine oil; spares stock drops from the spares store.

Fleet deals in the pipeline

Signed in as the owner, open /deals. QuickRide's 40-EV fleet quotation next to the AP Police tender, by stage and value.

Service slots booked online

Signed in as the owner, open /profile/booking. The workshop booking page (sai-krupa-service) with a periodic service, a first free service and an accident estimate booked this week.

Spares stock by the piece

Signed in as a staff member, open /inventory. Engine oil, brake shoes, air filters and batteries in the spares store, with what each job drew.

A Vijayawada two-wheeler dealership that tracks every chassis number

Before: Chassis and engine numbers in a register, workshop jobs on paper, and financier payouts matched by hand.

With Finocket: Every vehicle is a serial from the OEM invoice to the customer's bill; workshop labour and spares on one job bill; financier payouts reconciled.

(Sample business: Sai Krupa Motors, a demo automobile dealership workspace in Vijayawada, Andhra Pradesh - not a real customer.)

Workshops: job cards from arrival to delivery

Open Settings → Booking links. Inside the Vehicles and service due card you will find Job cards: one card per vehicle that comes in, from the moment it arrives until the customer drives it away.

  1. Open a job card

Pick the Customer, type the Registration no., the Odometer (km) and the Customer complaint, then tap Open job card. If the registration number does not look like a state mark (MH 12 AB 1234) or a BH-series mark (22 BH 1234 AA), an amber line under the field says so. It is advice only and never stops you saving.
  2. Move it one step at a time

Each card shows its state and one button for the next step: Send estimate, Customer approved, Start work, Mark ready and Delivered. The states read Received, Estimated, Approved, In progress, Ready for pickup and Delivered.
  3. Attach the estimate, then the invoice

Under a card, choose a bill from Estimate or invoice and tap Attach bill. Only that customer's bills are offered. An estimate can be attached at any time. An invoice waits for the customer's approval, and until then the card says An invoice can be attached once the customer approves the job. From Approved onwards a New invoice link opens a new bill and brings you back to the board.

The board lists the 200 most recent job cards. Someone whose role can only read sees the cards with You can see job cards, but your role can't open or move them.

A sticker QR for the next service

Tap Sticker QR on a job card to make a QR code for the windscreen, then Print it or Download it. When the customer scans it, your booking page opens and the booking is recorded against that customer. The customer sees your ordinary booking page; nothing on it shows their details. A sticker works for two years, or until you make a new one for the same job card: the new sticker replaces the old one, so a copied or handed-over sticker stops working. The button needs a booking link: without one the board says Create a booking page to print a sticker QR for the next service.

Bays, technicians and the day calendar

On the same screen, Today's bookings by resource lists each bay or technician you add and the bookings on it for the day. Add a bay or a technician once, then book an appointment on it: two different bays can be booked at the same time, and one bay cannot be booked twice at once. Pick another date in Day to finish or bill an appointment from an earlier day. An appointment booked without a customer shows a customer list and Link customer, so it can be billed once the customer is saved. Until the appointments table is installed on your workspace the card says Desk appointments are not switched on yet. They start once the appointments table is installed.

If a booking is cancelled

Open the receipt you gave for the booking advance. Under If this booking is cancelled, type what you keep under your own terms and anything you have already paid back, and the refund owed appears. It is a calculator only: it issues no credit note and moves no money, and what you may keep is for your terms and the law to settle.

The vehicle workshop setup

When you choose Auto as your line of business (on the dashboard when you start, or later under Settings → Modules & features), Finocket proposes the vehicle workshop setup, and you approve it before anything changes. It adds the vehicle to your estimates and bills (registration no., make and model, odometer, the customer's complaint), part no. and the models a part fits to your items, a check on VIN and chassis numbers as you type them, and a Parts and labour codes note on a workshop invoice.

Not available yet

One record per vehicle under Records, listing its job cards and bills, needs a setup step on your workspace. Until it is done the job card form says Saved vehicles appear here once the Vehicle record type is set up under Records.
