Reset a workspace and start again with a clean slate

Archive this workspace read-only, with its full history, and open a fresh one with the same name, GSTIN and team. Owner only, with a typed confirmation, a fresh sign-in, a cooling-off you can cancel, a code emailed to you before it runs, and a receipt.

Settings > Reset and restore lets you start a workspace again from a clean slate. The old workspace is not deleted: it is archived, read-only, with every record and its full audit history, and a fresh workspace with the same name, GSTIN and team opens in its place.

Who can do it

The workspace owner. Someone else can only if the owner has given them the reset permission on purpose. Admins and accountants do not have it by default.

The safeguards

You type the workspace name to confirm, and you may be asked to sign in again first. Then a cooling-off starts, 24 hours by default. Nothing changes during it, and you can cancel. After it ends, the reset runs only when you press Run. Every request, cancellation and run has a receipt number, emailed to whoever asked, and shown on the page.

The code we email before it runs

Before a clean slate or a go back to a date runs, choose Email me a code to run. We email a 6-digit code to the address you signed in with. Type it and press Run. The code works for 10 minutes and only for that reset, and nothing runs without it, even with the workspace name typed and a fresh sign-in. If you did not ask for a code, do not share it, and cancel the reset on the page.

What the page may tell you about the code:

  • Enter the code we emailed you: ask for a code first, then type it.
  • That code is not right: check the email and type it again. After 5 wrong tries the code stops working.
  • That code has expired, or too many wrong codes: choose Send a new code.
  • We just sent you a code: a new one can be asked for after a minute. Too many in an hour are refused for a while.
  • We could not email you a code: nothing was sent and nothing runs. Try again in a moment.

What happens to the old workspace

It is renamed with the word archived and the date, its books are locked, and nobody can change it. You can still open it and read it. It is kept for 8 years, the period the law asks audit history to be kept, and nothing in it is deleted.

What the fresh workspace keeps

The same name, legal name, state and GSTIN, and the same team with the same roles. Its books begin on the day of the reset. Your settings, such as modules and document layouts, are yours and stay as they are.

Restore points

A restore point is a copy of your records at one moment: parties, items, ledgers, invoices, credit notes, expenses, payments, journals and stock movements, with their lines. Take one yourself with Take a restore point now; Finocket also takes one before a clean slate. A point that grows past the size limit is not kept, and the page says so.

A restore point you take yourself is kept until you no longer need it. One Finocket takes, before a clean slate or a bulk change, is kept for 30 days. When a point expires its copy is deleted; your records and your audit history are not affected.

Go back to a date

Choose a date and type the workspace name. Records changed after that date are put back as they were, using the newest restore point on or before it: what was added since is removed, what was deleted is put back, and what was changed is changed back, with its lines. Before anything happens you see how many changes it will make. The same safeguards apply as for a clean slate: a fresh sign-in, a cooling-off you can cancel, Run to start, and a receipt.

Anything dated on or before your books lock date, or in a month whose GST return is already filed, is never changed. It is counted as left alone and listed. If a record cannot be changed, for example because something newer uses it, it is left as it is and the result says how many. Your audit history keeps every change, including the ones going back makes.

Undoing one import instead

If you only want to take back one import, or one stage of it, use Settings > Activity and undo. That keeps everything else as it is.

Resetting is not deleting your account

A reset, a clean slate or going back to a date never erases personal data on request: that is Account > Delete my account, which has its own process and receipt. Deleting an account does not delete the record of a reset; it only removes your name from it.

If you do not see Reset and restore

Reset and restore is listed in Settings and in search only once it is set up for your workspace, and only for the owner or someone the owner has given the reset permission. Until then nothing can reset your data.
